Marubeni Corporation, a leading general trading company, reconstructed its Tokyo headquarters building and began operations at the new headquarters in May 2021. As part of the relocation to the new headquarters, Marubeni adopted an extensive lineup of DTEN devices in the conference rooms.

Marubeni operates globally in a broad range of fields, including lifestyle, food and agriculture, metals, energy and chemicals, power and infrastructure services, finance, leasing and real estate, aerospace and mobility, information solutions, next-generation business development, and next-generation corporate development. Founded in May 1858, the company currently operates 130 locations worldwide and employs more than 50,000 people across the entire group.

The new headquarters aims to serve as a hub for the seamless integration of business, urban life, nature, daily activities, and the arts. It features state-of-the-art offices and performance capabilities alongside facilities dedicated to fostering community engagement and development.

The new headquarters has also fully embraced Zoom as its primary conferencing system, utilizing DTEN as the chosen devices for implementation. To suit the sizes of the conference rooms, approximately 200 devices were installed, including both 75-inch and 55-inch DTEN D7 all-in-one video collaboration devices, as well as DTEN ME all-in-one desktop video conference solution.

■ Reason for Choosing DTEN

Previous use of various conferencing systems

Marubeni is currently reforming its in-house work style and communications as a key initiative within its digital transformation (DX) strategy. The company is dedicated to “anytime, anywhere, with anyone” communication through the efficient use of remote communication technologies, specifically web conferencing services.

Mr. Kojima,
Division Chief
IT Services Division
Mr. Kojima
General Manager of IT Service Section,
IT Service Section, Information Strategy Department

In anticipation of the headquarters relocation in 2021, the IT Service Section, Information Strategy Department began evaluating and comparing solutions for large touch-panel displays and conference systems in May 2018. The company had long utilized videoconferencing, web conferencing, and audio conferencing as integral components of its meeting system. However, according to Mr. Kojima, General Manager of IT Service Section, IT Service Section, Information Strategy Department, “video and audio conferencing present various challenges, including the need for specific devices for each.”

A conference system centralized on Zoom, emphasizing DTEN’s all-in-one solutions

The rapid advancement and widespread adoption of web conferencing technology, particularly centered around Zoom, have led to a strategic consolidation of Marubeni’s efforts into web conferencing. Marubeni decided to make Teams available to our partners and began looking for devices that satisfied our requirements.

When selecting devices, our primary concern was compatibility with Zoom. We also placed significant emphasis on the costs associated with installation and usage, as well as functionality, convenience, and the simplicity of the physical wiring.

DTEN’s D7 and ME models are certified by Zoom Communications Inc. as “Zoom Rooms(*) Certified Hardware,” and the all-in-one displays include microphones, speakers, and cameras, greatly simplifying wiring.

*Zoom Rooms is a solution that allows meetings to be initiated, meeting rooms to be reserved, content to be shared, and participants to collaborate via HD video from office conference rooms or other locations.

image5

The DTEN D7, launched in 2018, was still considered cutting-edge technology when we began considering it. “Initially, we were evaluating microphones, speakers, cameras, and monitors individually. However, prioritizing cost efficiency and convenience, we decided to concentrate our efforts on all-in-one display solutions. As this was our first time adopting the D7 in Japan, we met with the CEO of DTEN and considered suggestions from Hakuto Co., Ltd.,” recalls Ms. Kotake of the IT Service Section, Information Strategy Department.”

■ Results of Adoption

Incredibly convenient one-tap meetings earn high praise following implementation

The DTEN device screens installed in Marubeni’s conference rooms currently feature a “Meeting” icon for instantly initiating a Zoom meeting, a “Join” icon for participating in a Zoom meeting, and a “Microsoft Teams” icon for accessing Teams meetings. The company includes about 6,000 Zoom users with about 10,000 meetings organized each month, with around 25%—approximately 2,500 meetings every month—initiated via the “Meeting” and “Join” icons on DTEN devices.

image6

Following installation, significant internal feedback was reported within the company. Following the adoption of the new conferencing system in May 2021, a regular user survey was conducted in September of the same year. The results indicated that the new devices were well received with approximately 50% of respondents rating the system as “Very good” or “Good.” Additional efforts to promote usage were enforced, and a user survey conducted in September 2024 showed an increase to 74%.

According to the survey, in-house users highlighted several positive aspects of using the system. They noted that “The hybrid model of teleworking and office attendance is operating smoothly,” “The screen sharing feature of the web conferencing system makes creating a paperless environment easy,” and “It’s a big advantage to have access to both Zoom and Teams.”

DTEN’s patient response to and resolution of the issue of air conditioning noise during Teams meetings

image7
Ms. Kotake
IT Service Section,
Information Strategy Department

At Marubeni, the use of Teams with DTEN devices is facilitated by the Direct Guest Join feature in Zoom Rooms, which allows users to participate in Microsoft Teams meetings via Zoom Rooms. However, when first using this feature to join Teams meetings, audio disturbances caused by the acoustics of the meeting room, sound masking, and interference from air conditioning noise were a problem.

The IT Service Section, Information Strategy Department addressed requests from in-house users regarding this problem and worked with DTEN to resolve the situation.

“We received substantial support from DTEN. We tested firmware that had been adjusted to address the issue, and when the problem persisted, we requested other modifications, which were met with a patient and accommodating response. This critical issue has now been resolved, and the system is receiving high praise from in-house users,” notes Ms. Kotake.

Future Developments

More than four and a half years have now passed since the implementation of the DTEN D7 in May 2021. Since then, the successor model, the DTEN D7X, has also been launched. Marubeni actively began purchasing additional units of the latest D7X model in September 2024. This initiative was tied to the establishment of new conference rooms and aligns with the maintenance cycle requirements of the existing DTEN D7 units.

In discussing future utilization of DTEN devices, Mr. Kojima notes, “We are exploring the integration of generative AI to enhance functionalities such as real-time transcription of meeting audio, generation of meeting minutes and summaries, creation of task lists, and other applications.” He emphasizes the importance of DTEN devices in accurately capturing audio during conferences to ensure effective communication.

image8

“DTEN has provided a wide range of invaluable support, including in enhancing the audio quality of our Teams platform. In addition, DTEN devices serve as essential conferencing devices, improving user efficiency. We look forward to their continued support and the introduction of the latest features,” Mr. Kojima said about his expectations of DTEN. He concluded, “In our endeavor to enhance the IT environment, we hope to leverage AI-powered features and other ICT capabilities to elevate the digital proficiency of the entire Marubeni Group and to cultivate the skills of each individual.”

Did you know that only 7.8 percent of the nearly 90 million meeting rooms worldwide are video-enabled?

This creates a significant disconnect between in-person and remote participants, making it difficult for everyone to see and hear each other clearly. This imbalance can lead to missed cues, disengagement, and a less productive meeting experience.

What is a Medium Meeting Room?

A medium meeting room typically accommodates 7 to 12 in-room participants. This versatile space is big enough for key presentations and also cozy enough for small meetings. To make these rooms optimal spaces for productivity, they should be equipped with high-quality video, audio, and content-sharing capabilities.

Who uses Medium Meeting Spaces?

Some examples of people who use medium meeting spaces include:

  • Small teams within a large company who may use the rooms for project discussions or regular team check-ins
  • Teams from a specific department, for example, sales or marketing teams, may gather to pitch ideas to accomplish company goals.
  • Clients who need face-to-face meetings and presentations to review project deliverables, status updates, and dependencies.

What Challenges Do Users Face in Medium Meeting Rooms?

  • Camera Coverage & Zoom: Medium-sized rooms often have varying layouts, requiring cameras to capture both near and far participants effectively. Ensuring sharp focus on the far end of the table is essential, particularly for meeting leaders.
  • Pan, Tilt, & Framing: Attendees may move around, and a camera must have motorized pan and tilt functions to adjust accordingly. Intelligent framing is also crucial to keep the focus on active speakers or whiteboard presentations without manual adjustments.
  • Audio Clarity & Coverage: Audio issues arise when mics fail to isolate the speaker’s voice, leading to background noise or crosstalk. Beamforming microphones and advanced software help improve clarity.

How does DTEN Medium Room Solutions Improve Video Conferencing Experiences?

DTEN’s Medium Room Solution is designed to enhance video collaboration in mid-sized spaces, ensuring crystal-clear visibility, immersive audio, and seamless meeting experiences for all participants.

Options like the DTEN D7X 75” or the DTEN Bar provide a robust foundation for productive meetings. The DTEN Vue 4K multi-camera system expands video coverage, delivering multiple angles for a more natural, inclusive view of the room. This ensures that both in-room and remote participants can engage effortlessly, seeing and hearing everyone clearly.

For an optimized meeting experience, DTEN Mate offers intuitive, one-touch meeting control, simplifying setup and participation. Additionally, Orbit Pro streamlines device management, ensuring seamless performance across all connected systems.

Whether mounted between dual displays for a modern conference setup or paired with the DTEN D7X 75” for a premium all-in-one experience, the DTEN Medium Room Solution transforms video meetings—enhancing collaboration, engagement, and productivity.

Imagine this: As the CEO, you see your teams gravitate toward the large meeting rooms for leadership discussions, annual reports, and revenue projections. These spaces foster collaboration and big-picture thinking.

But for your IT department, it’s a different story—a constant worry about support tickets piling up. Complicated AV setups leave employees struggling to connect, whether it’s Zoom or Microsoft Teams, and something as simple as screen sharing turns into a frustrating challenge.

What should be a seamless meeting experience instead becomes a technical hurdle.

What is a Large Meeting Space?

A large meeting space is a conference room designed to accommodate 12 or more in-room participants, typically covering an area of around 80m² (30’ x 30’) or more. There are 4 key things to consider when optimizing large meeting spaces.

  • Stunning visual clarity
  • Exceptional audio performance
  • Effortless IT management
  • Intuitive meeting experience

What Leads to a Bad Meeting Experience in a Large Meeting Room?

Large meeting rooms are often the setting for high-stakes discussions—leadership meetings, annual strategy sessions, and revenue projections. These meetings play a critical role in shaping business outcomes, yet if the experience is poor, they can drain energy, derail conversations, and leave participants frustrated.

Picture walking into an important meeting only to find that the display won’t connect, the Wi-Fi is down, or the necessary tools—like whiteboard markers—are missing. In hybrid setups, challenges multiply: incompatible devices, poor audio-visual quality, and difficulty integrating remote participants can disrupt the flow of conversation.

Technology should enhance collaboration, but all too often, it becomes a barrier. IT teams are frequently called in to troubleshoot connection issues, unclear audio, or lagging video, which wastes valuable time. In fact, studies show that many professionals struggle to pinpoint whether a problem stems from hardware, software, or network failures, making it even harder to resolve issues on the spot.

Ensuring a smooth and effective meeting experience means investing in intuitive, user-friendly technology that works reliably for both in-person and remote attendees. With the right setup, meetings can become more productive, engaging, and impactful rather than a source of stress and disruption.

How Does the DTEN Large Room Solution Enhance Video Conferencing Experiences?

Video conferencing in large meeting spaces often comes with challenges—uneven audio coverage, limited visibility for remote participants, and complex setups that require constant IT support. DTEN’s Large Room Solutions are designed to eliminate these issues, delivering an effortless and immersive meeting experience.

Optimized for Larger Spaces

DTEN’s Large Room Solutions, powered by the DTEN D7X 75 or DTEN Bar, ensure that meetings remain engaging and productive in large spaces. These solutions provide crystal-clear visuals and superior audio, creating an environment where every participant—whether in-room or remote—feels equally included.

Enhanced Audio and Visual Performance

With the addition of DTEN Vue Pro, a multi-camera system designed for intelligent framing and optimal speaker tracking, remote attendees gain a more natural and dynamic view of the room. The DTEN Mate touch controller streamlines meeting controls, making it easy to start, manage, and navigate calls without technical complications.

Flexible and Scalable Configurations

The DTEN Bar, when mounted between two displays and paired with Vue Pro, creates a powerful video conferencing hub for larger setups. Whether integrating with third-party audio solutions or utilizing Orbit Connect for enhanced device management, these solutions are built to scale with the needs of modern enterprises.

Seamless Collaboration, Minimal IT Intervention

DTEN Large Room Solutions empower teams to focus on discussions rather than technical difficulties by simplifying technology deployment and reducing the need for constant troubleshooting.

Whether it’s leadership meetings, revenue discussions, or strategic planning sessions, DTEN ensures that every voice is heard, every face is seen, and every meeting runs smoothly.

Hybrid Work Challenges in Small Meeting Rooms—and How to Solve Them https://www.dten.com/ko/insights/hybrid-work-small-meeting-room-dten-solutions/ Fri, 31 Jan 2025 06:46:57 +0000 https://www.dten.com/?p=27574 Discover the top hybrid work challenges in small meeting rooms and practical solutions to enhance collaboration, engagement, and productivity in modern workplaces.

You had planned to work remotely today, but a last-minute request from your manager calls you into the office. A client whose account you manage is stopping by for a quick project update.

As you settle in, a reminder pops up—your meeting starts in 30 minutes. Scanning the office, you realize most conference rooms are booked. With only you and the client on-site while the rest join remotely, you scramble to find a small meeting space that fits your needs.

Post-COVID era, the number of hybrid meetings have increased significantly. Teams today prioritize productivity and seek spaces that are readily available for spontaneous meetings or last-minute brainstorming sessions. However, the challenge arises when these small spaces lack advanced video conferencing capabilities.

What is a Small Meeting Space?

A small meeting space is a designated area designed for intimate, focused discussions among a limited number of participants, typically accommodating up to 6–7 people. These spaces are ideal for quick brainstorming sessions, one-on-one meetings, or spontaneous team huddles, providing a quiet and efficient environment for collaboration.

Who uses Small Meeting Spaces?

1. Remote & Hybrid Workers – Employees working in hybrid environments use small meeting spaces for quick virtual check-ins, team syncs, or private calls.

2. Project Teams – Small groups collaborating on projects need a quiet, focused space for brainstorming sessions and progress updates.

3. Sales & Client-Facing Teams – Sales professionals and account managers use small meeting rooms for confidential client calls, pitches, or one-on-one discussions.

4. Executives & Managers – Leaders use these spaces for one-on-one meetings, performance reviews, or strategy discussions without booking a large conference room.

5. IT & Support Teams – IT professionals may use these spaces for troubleshooting, virtual training sessions, or quick tech support meetings.

6. HR & Recruitment Teams – Human resources teams leverage small meeting spaces for interviews, onboarding sessions, and confidential discussions.

Historically, small rooms were associated with one-on-one in- person meetings, so there wasn’t a need for the room to be video-enabled. If you’re considering redesigning your meeting strategy to include more small meeting rooms, this blog will guide you on how to equip those spaces with cost-effective yet high-quality technological solutions.

What Challenges do Users Face in Small Meeting Rooms?

Limited space can make it difficult to accommodate participants comfortably, while poor video framing due to narrow camera angles can exclude some attendees from the frame.

Inadequate audio quality, caused by basic webcams or background noise, can hinder communication. Excessive cables and bulky equipment create clutter, emphasizing the need for wireless or integrated solutions. Small rooms often lack high-quality technology, interactive displays, or collaboration tools, limiting productivity. Finally, complicated setups frustrate users and waste time, highlighting the importance of user-friendly, plug-and-play devices to address these issues effectively.

Today, many offices are embracing a blended workforce, combining remote and hybrid employees. This approach benefits employers and employees: employees enjoy improved work-life balance, while employers can cut costs and reinvest in resources that boost employee productivity.

A 2023 report by Deloitte reveals that more than half of finance leaders are being asked by their CEOs to prioritize cost reductions. During this review, real estate and office space emerged as the top areas for potential savings.

Zoom is a popular video conferencing software that has become so popular that it has become a verb. In corporate settings, one term you will often hear in association with Zoom is Zoom Rooms. The terms are sometimes used interchangeably, resulting in confusion about the remote collaboration services available and the features that distinguish them.

Let’s look at how this blog explores the difference between Zoom and Zoom Rooms and how you can ensure a simple, equitable experience for your distributed workforce.

What is Zoom?

Zoom is a cloud-based platform that makes it easy for people to connect, no matter where they are. Whether it’s for a quick team meeting, a virtual family catch-up, or a large-scale webinar, Zoom allows people to communicate effortlessly through video, audio, and chat.

The platform is known for its user-friendly design, making it simple to schedule or join meetings, share your screen, and collaborate in real time. From small businesses to global enterprises, Zoom has become a go-to tool for keeping people connected in a world where flexibility is key.

What is a Zoom meeting?

A Zoom Meeting is what many people picture when they think of Zoom. It’s a virtual gathering where the host schedules a meeting and sends out invitations via email or text. These invitations include a link that participants can click to join the meeting seamlessly.

With a standard Zoom Meetings license, you can use a PC, tablet, or smartphone with the Zoom software installed to host or join these meetings. This setup is perfect for remote, hybrid, or work-from-home employees, turning nearly any device with a camera into a virtual meeting space.

Zoom Meetings offer great flexibility. They can be as simple as a one-on-one chat or as extensive as a large group conference.

You can also select from different licensing options, depending on a few key factors:

  • How long your meetings can last
  • The number of people who can join at once
  • Whether you need to record and save meetings on the cloud for future viewing

These choices help you tailor the Zoom experience to your needs, whether you’re conducting short team meetings or larger, more detailed sessions.

Some Key Features of Zoom Meetings:

Video Conferencing: Connect with others face-to-face through video, adding a personal element to virtual interactions.

Screen Sharing: Easily share your screen to present documents, slides, or other materials to participants.

Chat Functionality: Use instant messaging during meetings for real-time communication and collaboration.

Recording and Transcription: Record meetings for later review and use automatic transcription to keep track of key points.

Breakout Rooms: Split larger meetings into smaller groups for more focused discussions and brainstorming. Zoom breakout rooms are perfect for personalized interactions and can help increase productivity.

Integration with Productivity Tools: Connect seamlessly with popular tools like Google Calendar, Microsoft Outlook, and Slack to streamline your workflow.

What are Zoom Rooms?

Zoom Rooms is simply an upgrade to Zoom meetings designed for more professional settings. It helps promote inclusivity and provides a high-quality hybrid experience in rooms, rather than at the desktop. While Zoom is the software that powers your video conferences, Zoom Rooms takes things a step further by combining this software with physical hardware and a dedicated meeting space.

Think of it this way:

We’ve all been to the movies. Imagine Zoom Rooms as the 3-D experience for your remote/hybrid employees. Just as 3-D movies provide a more immersive experience, Zoom Rooms’ intuitive and engaging setup helps foster deeper connections and build trust.

Zoom Rooms helps reimagine physical meeting spaces into fully equipped virtual hubs by equipping them with high-quality audio and video systems. Additionally, Zoom collaborates with various well-known third-party vendors, allowing Zoom Meetings to be used with their hardware. DTEN offers room solutions to run Zoom Rooms with a tap of a button.

Some Key Features of Zoom Rooms:

Smart Gallery: Zoom Rooms’ Smart Gallery is an AI-driven feature that transforms a single-camera view of a meeting room into up to three distinct video streams. Some suggested Devices that use Smart Gallery include D7X Windows, D7X Android, and the DTEN Bar.

Centralized Control: Easily manage and control multiple meeting spaces from one intuitive interface. No extra devices are needed—start, stop, and control Zoom Rooms meetings directly from your mobile phone or laptop

Workspace Reservation: Workspace Reservation and Zoom Rooms provide insights into desk and conference room usage, helping you optimize space, reduce costs, and adapt to changing employee needs.

Attendees can also explore the new DTEN Bar, recently certified for Microsoft Teams. This solution delivers advanced AI-powered audiovisuals, along with user-friendly deployment, management, and adaptability for various room configurations. DTEN SMKit Teams

Lastly, DTEN will present DTEN Orbit, the cloud-based device monitoring and management platform designed to streamline customer service and IT support.

DTEN Vue Pro Camera System for D7X Android Debuts

Making its debut for Microsoft Teams at Ignite 2024, DTEN’s innovative DTEN Vue Pro camera system is now available for DTEN D7X Android 55″ and 75″ systems. Unique in its class, DTEN Vue Pro is a set of professional 4K cameras cleverly designed to capture in-room participants at eye level.

DTENVuePro Inset 3 1

Unlike traditional PTZ cameras designed to capture an entire space with a single lens, DTEN Vue Pro employs advanced smart framing AI to operate multiple lenses simultaneously, capturing every participant clearly and in crisp resolution, regardless of distance from the front of the room system. Additionally, DTEN Vue Pro delivers up to 160 degrees of camera coverage, free of common PTZ-camera related issues such as jerky camera movements and “fisheye” visual distortions of the picture plane.

“We are excited to present DTEN’s innovative, high-quality solutions at Microsoft Ignite,” said Scott Krueckeberg, Head of Strategic Alliances at DTEN. “Our new offerings cater to Microsoft Teams Rooms users, providing collaboration tools, advanced camera solutions, and DTEN Orbit for device management, enhanced customer service and streamlined IT support. With this extensive portfolio, DTEN remains a leader in hybrid work solutions, offering flexibility, scalability, and extensibility for video conferencing rooms of all sizes.”
